Tracking numbers for your business shouldn’t be a giant headache. Follow these six steps to begin with a focused and efficient process.
You’re ready to make confident decisions in your business.
And bringing in more results wouldn’t hurt either 😉.
But here’s the thing: those confident, strategic decisions? They don’t come out of thin air. They start with tracking your numbers.
Before you check out, hear this: tracking your numbers doesn’t have to be complicated. It shouldn’t eat up hours of your time either.
In fact, you can start collecting meaningful data tomorrow, without a single spreadsheet-induced headache, by following these six simple steps:
🔍 Step 1: Identify Your Number
There are a million numbers you could track. But the truth? Most of them won’t actually move the needle for you.
Your first task is to identify the number that matters most to your business and your current goals.
That’s the one that deserves your attention.

📋 Step 2: Create One Place to Collect
Here’s where most people get stuck.
You pick your number, track it once in a random doc... then forget where you put it.
Next month, you create a new sheet. Then another. Eventually, you give up because nothing sticks.
Here’s the fix: choose one place to collect your data consistently. One spreadsheet. One document. One tool.
I’m a big fan of spreadsheets (always 🧡), but Airtable, ClickUp, or Notion can work too, as long as they’re easy for you to use.

🙌 Step 3: Make It Easy on Yourself
Your spreadsheet shouldn’t feel like a chore. Set it up to support you.
✅ Bookmark it so you never have to search again.
✅ Hyperlink important tabs—so you can click straight to your Pinterest analytics or checkout page metrics in seconds.
✅ Label columns clearly to avoid confusion and guesswork.
The easier it is to use, the more likely you are to actually use it.
📅 Step 4: Schedule Your Tracking
Open your calendar and create a standing date with your numbers.
Whether it’s weekly, monthly, or quarterly, block time specifically for tracking & treat it like you would a client call or team meeting.
Trust me: a recurring appointment with “Tracking Time” on your calendar makes it harder to keep putting it off.
✅ Step 5: Write Out Your Process
You’re building a new habit, and habits take time.
So, make it easier on your future self: write out your full tracking process. Step by step. Include links to dashboards, spreadsheets, or data sources.
Eventually, it’ll become second nature. But until then? Let your checklist do the remembering for you.
☕ Step 6: Make It Fun
Let’s be honest—data tracking probably isn’t the most exciting part of your business. But it doesn’t have to feel like a drag.
Add something enjoyable to your routine:
✨ Light a candle
✨ Queue up your pump-up playlist
✨ Sip your favorite latte
✨ Snuggle up in your coziest chair
If you hate the process, you’ll avoid it. So find a way to make it feel good for you.
(This is how I convince myself to schedule phone calls, too 😂)
